Heaven In Me USA (HIM USA) is a nonprofit ministry that donates Chromebook computers and Educational Management System (EMS) servers to Christian missionaries serving in remote and underserved communities around the world. This platform (connect.heaveninme.us) is our internal administrative tool and public application portal.

2. Information We Collect

We collect information you provide directly when submitting a Chromebook or EMS server request:

• Personal identifiers: name, email address, phone number
• Missionary information: missionary name, email, phone, mission country and city, mission field description
• Shipping information: recipient name, street address, city, state, ZIP code
• Ministry information: responses to ministry questions describing how equipment will be used
• Supporting documents: files you upload to support your application (stored in Google Drive)
• Technical data: IP address (used for approximate geographic location to detect region and timezone), browser user-agent string

Administrators who log into the admin panel authenticate via Google OAuth. We collect their Google account email address and display name for access control purposes.

3. How We Use Your Information

• Process and review Chromebook and EMS server donation requests
• Send automated email notifications (application confirmation, approval, shipping updates, delivery confirmation) via Gmail
• Coordinate logistics with our equipment vendor (Joy Systems)
• Follow up on equipment delivery and gather feedback via anniversary surveys
• Maintain audit records of administrative actions for accountability
• Detect and prevent fraudulent or duplicate submissions

4. Google Services We Use

This application integrates with the following Google services:

• Google OAuth 2.0 — administrator authentication. We request only the minimum scopes needed to verify identity and send email.
• Gmail API — sending transactional emails (confirmations, approvals, shipping notifications). Emails are sent from the organization's Gmail account.
• Google Drive API — storing application attachments (supporting documents) in an organization-controlled Drive folder.

Our use of Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Storage and Security

Application data is stored in a SQLite database on a server operated by HIM USA. Access to the admin panel is restricted to authorized HIM USA staff and volunteers. All data is transmitted over HTTPS. We do not sell or share your personal information with third parties except as necessary to process your donation request (e.g., sharing a shipping address with our equipment vendor).

6. Data Retention

We retain application records for as long as necessary to fulfill the donation program and maintain ministry records. You may request deletion of your personal data by contacting us at the address below.

7. Your Rights

You may request to:

• Access the personal information we hold about you
• Correct inaccurate information
• Request deletion of your data (subject to our record-keeping obligations)

8. Children's Privacy

This platform is intended for use by adult missionaries and ministry leaders. We do not knowingly collect personal information from children under 13.
